What does the Resignation Letter Generator do?

The Resignation Letter Generator turns five facts into a short, polite resignation letter you can send today. Type your name and your company, and the letter is already written. It's dated today, and your last day is worked out for you. Add your manager's name and your job title if you want them in it. Then copy it, download it as a text file, or print it.

Here's what it wrote for Maya Chen, an account manager resigning on Monday, September 28, 2026, in the Brief tone and Email format:

That's 33 words, and it's a complete letter. It says that she's leaving, when she's leaving and that she'll help on the way out. It doesn't mention feelings she didn't have or promises she didn't make. The Grateful tone adds a formal opening and one thank-you paragraph, and even then the whole letter stays under 85 words.

The letter updates on every keystroke. There's no Generate button, no wizard and no account. Leave your name or company blank and the letter shows [Your name] or [Company] in its place, and the Copy button waits until you've filled them in.

Why a short resignation letter beats a long one

A resignation letter has one job. It records, in writing and with a date on it, that you resigned and when your last day is. It goes into your personnel file and sits there for years. HR reads it. A future employer's reference check may reach it. Your manager will reread it the day after you talk.

So every extra sentence is a risk. It could be the paragraph about why you're really leaving, or the long list of everything you'll finish before you go, or a line of thanks so warm it reads as sarcasm. Short letters don't get quoted back at you.

The trouble is that most places you'd go to get one are built for something else:

  • The résumé-builder pattern. You fill in a multi-step wizard and the letter appears on screen. Then the Download button asks for an email address, an account, or a subscription that renews every month until you remember to cancel it. That's a paywall on a document that's 33 words long.
  • The AI-writer pattern. You type "I'm quitting" and get back four paragraphs about growth, gratitude and new chapters. You then spend ten minutes deleting sentences you'd never say. Usually there's a credit meter too, bundled inside a plan you pay for whether you write a letter or not.
  • The sample-page pattern. You find a static example on a careers site, copy it into your email, and hand-edit the brackets. You then work out the date yourself and hope you didn't leave a [Manager Name] in the final draft.

How to write a resignation letter with the generator

  1. Type your name and your company. The letter fills in as you type.
  2. Check the last day. The letter date defaults to today, and the notice defaults to two weeks. The last day shows up in the letter already worked out.
  3. Pick a tone and a format. Grateful or Brief. Letter (dated at the top, for printing) or Email (with a subject line).
  4. Copy, download or print. In Email mode you get separate Copy subject and Copy body buttons, so each one pastes into the right field.

Most people are done in under a minute. The part that saves you from an awkward correction later is step 2.

How the last day is calculated

The rule is simple. Last day = letter date + notice days. If that lands on a Saturday or Sunday, it moves back to the Friday before, and the page tells you: "Moved to Friday — your last working day." It moves back, never forward, so the letter never promises more notice than you chose.

The weekend rule matters for longer notice too. Thirty days from Friday, October 2, 2026 is Sunday, November 1, so the letter says October 30. Twenty-one days from Monday, September 28 is Monday, October 19, and nothing moves.

Dates are calculated and printed in UTC. That sounds like a technicality, but it prevents a real bug: a lot of date code on the web reads "2026-10-12" as midnight UTC, which is still October 11 in every US time zone. A letter that says the wrong last day is worse than no letter. The default letter date also uses your own clock, so writing at 11:30 p.m. in California doesn't date the letter tomorrow.

Every option changes the letter immediately. Here's what each one does:

The shortest letter it writes is Brief, Email, no manager, no reason and no handover line. That's 26 words: "To whom it may concern, I am resigning from my position at Northwind Traders. My last day will be October 12, 2026. Thank you, Maya Chen." The longest is Grateful, Letter, every field filled and a reason added, at 82 words. Either one fits on a single screen.

The reason sentences are short on purpose. New job reads "I have accepted a position elsewhere." It doesn't name the company. Relocation reads "I am relocating." There's no free-text reason box, because that box is where people write the sentence they regret.

If you want different wording, copy the letter and edit it wherever you send it from. The download is a plain .txt file named after you, like resignation-letter-maya-chen.txt, so it opens anywhere.

Where resignation letters go wrong

If the letter isn't coming out the way you expected, here's what to check first.

Your last day falls on a public holiday

The generator skips weekends, not holidays. Which holidays your employer observes varies too much to guess. Ninety days from September 28, 2026 lands on Sunday, December 27, which rolls back to Friday, December 25. If that's a day your office is closed, type the day you actually mean into the Last day box.

You work weekends

Retail, hospitality and healthcare schedules don't stop on Friday. If your real last shift is a Saturday, type it into the Last day box. A date you type yourself is never moved. October 17, 2026 stays October 17, 2026.

Your contract asks for more than two weeks

Two weeks is a US custom, not a rule. Senior roles often ask for three or four weeks, and some contracts set a number in writing. Check your offer letter or handbook before you send anything, then pick 30 days or type your own number under Other. It accepts anything from 0 to 90.

The date shows an error

The generator refuses to write a letter it knows is wrong. A last day before the letter date gets "Your last day is before the letter date. Pick a later day." A date that doesn't exist, like February 30, gets "That date isn't a real date." It doesn't quietly roll it into March.

This tool writes a US-style letter on purpose. In much of the world, resignation rules are written into law: notice periods of a month or more, specific wording, and sometimes a signed paper letter where an email won't count. If you work outside the US, check your local rules before relying on an email resignation.

Frequently asked questions

Is a two weeks notice letter the same as a resignation letter?

Yes. "Two weeks notice letter" is what most people call a resignation letter that gives 14 days' notice. Two weeks is the default here, so every two weeks notice letter it writes is ready as-is. The letter names the exact last day instead of saying "two weeks," so nobody has to do the arithmetic, and nobody can argue about whether the count started today or tomorrow.

Who should I send my resignation letter to?

Your direct manager, right after you've told them in person or on a call. If your company has an HR team, copy them or forward it afterwards, since they're the ones who process the paperwork. Put your manager's name in the Manager's name field so the letter opens with "Dear" and their name instead of "To whom it may concern."

Do I need to sign a resignation letter?

A resignation email doesn't need a signature. The typed name at the bottom is enough, and the email itself carries the date. If you're printing it in Letter format, sign by hand in the space between "Sincerely," or "Thank you," and your typed name. Keep a copy, or a photo of the signed page, for your own records.

Can my employer make my last day earlier than the date in my letter?

In most US jobs, yes. At-will employment works both ways, so an employer can accept your resignation and end your job before the last day you named. Some companies pay out the notice period and many don't. Policy on unused vacation pay also varies by state and employer. If that money matters to you, read your handbook before you hand the letter over.

Should I mention my new employer in the letter?

There's no need. The New job reason says "I have accepted a position elsewhere" and stops there. Where you're going is something to share in conversation if you want to, not in a document that stays in your file. Leaving the reason on None is also completely normal. Most people don't give one.

Can I take back a resignation after I send it?

You can ask, but your employer doesn't have to agree. Once a resignation is accepted, the decision is theirs. That's the best reason to send the letter only after the offer you're leaving for is signed. Tell your manager first, then send the letter the same day.

How do I print it without the website around it?

Use the Print button. The printout is just the letter, with no navigation, buttons or page chrome. To get a PDF, choose "Save as PDF" as the printer in your browser's print dialog. Letter format puts the date on top, which is what you want on paper.
